General Terms & Condition

Vendors

(i) General 

All vendors entering the premises must apply for a work permit form before entering the premises, upon the approval of the work permit that vendors will be allowed access. 

Vendors without an approved work permit from the management may be denied entry at any given time.

Vendors are responsible for ensuring the venue space is returned to a broom-clean condition after the event. Failure to do so may result in an unusual or heavy cleaning fee which will be proposed by the management per event hall, deducted from the event organizer's deposit.

Smoking is strictly PROHIBITED inside the venue. Smoking areas are allowed outside the event space.

An extension of event hours exceeding HALF AN HOUR may result in deductions from the RM5,000 deposit depending on the charges for the additional hours (Weekend RM800 per hour & Weekday RM600 per hour).

(ii) Catering
We only allow Halal Certified caterers. Pork free caters are not allowed. Running Man Caters is our main panel caters and is Halal Certified, this is to ensure our clients can dine worry free. All caterers has to undergo a pre background check 

In the event the organizers choose an external caterer an additional surcharge will be imposed. Heavy dishwashing is not permitted on the premises. Vendors must ensure that the kitchen and food stations are maintained clean and tidy at all times. Disposal of and catering related items must be promptly removed from the premises after the event. 

(iii) Sound & Lights

Clients are only allowed to use up to 150 amps per usage. Total power capacity provided is 10 amps (power sockets & isolated distribution box). Damages incurred to electrical outlets & cable replacement will be billed to the Organizer (RM500 per cable).

For Generator rental, vendors are required to prepare their own diesel according to usage and ensure that the tank is not empty during use.

(iv) LED Screen

Decoration & set up items must be at least 10 inches away from the main stage transparent LED screen. 3rd party LED screens are not permitted. There will be a penalty fee (RM110 per 500mm panel) for the loss of LED screen rental income charged by our LED partner.

(v)Furniture 

We do assist clients in making furniture arrangements at charges. However, clients have the option to arrange through W Factory or external vendors.

Parking

A parking rate will be charged per vehicle per entry (fee is subject to change from time to time). 

Confirmation & Payment

We require a 50% deposit of the package price to secure the booking upon confirmation, balance payment and any miscellaneous charges are made 1 month before the event date. Kindly note that the deposit is non-refundable.

Refundable Security Deposit

We collect a security deposit will be collected per event per hall. This deposit will be returned to you after the event once it has been determined that no damages / loss have occurred or breach of W Factory’s house rules. All guests are expected to utilize the facilities and furniture with care. The organizer will be fully responsible in the event of any damages or loss of item (rental items included) during the event and will be liable for full compensation of the items that are damaged / lost.

Dismantle / Handover 

At the end of each event, the client shall be responsible for returning the venue space to a broom-clean condition, otherwise an unusual or heavy cleaning fee per event hall will be imposed. 

The event, music and catering services must stop by 11:30pm. Clean up can begin directly after the event is over and must be completed within the agreed hour in the contract / confirmation, otherwise overtime charges shall be imposed. 

Noise Management / Guidelines in W Factory

Confetti, fireworks, and candles are strictly PROHIBITED without prior approval. Use of confetti may incur additional charges for cleaning.

No lift usage is available for equipment, furniture, and bulk items. These items should not be dragged across the floor; rubber-wheeled equipment must be used instead

Protective floor coverings (canvas, plastic sheet, plywood, etc.) must be used before any installations on the venue's existing flooring.

The tape that is permitted to use on the floor is non-marking tape like cloth tape, carpet tape, masking tape, painter's tape that leaves no residue. On the stage, only carpet tape is permitted; punching is strictly PROHIBITED.

  • NO drone flying indoors.

  • NO decoration on the Trees, Plants & Audio Lighting fixtures.

  • All decorations & brought-in items must be removed within the rental booking time.

  • STRICTLY NO Rave Party, Disco Party, Rock Band Performance is allowed. W Factory management reserves the right to cease the performance should there be no prior consent. 

W. Factory reserves the right to dispose of all leftover items.
